Advocate accounts
Representative Terms of Use
Effective October 24, 2026
Plain-English terms for VA-accredited attorneys, claims agents and VSO representatives who use ClaimScope to analyze and organize their clients' records. What the advocate account includes
1. This agreement
1.1 These Representative Terms of Use (“Terms”) are a contract between you and ClaimScope LLC, an Iowa company. They govern every advocate account, which is a business account for VA-accredited representatives. By checking the box on the application, or by using an advocate account, you accept these Terms. If you accept them for a firm or organization, you confirm that you have authority to bind it, and “you” includes it.
1.2 Our general Terms of Use and Privacy Notice also apply. If they differ from these Terms for an advocate account, these Terms control.
2. Definitions
2.1 “ClaimScope,” “we” and “us” mean ClaimScope LLC, including its trade names ClaimScope, ServiceRecord and Ruck Ready.
2.2 “Representative” or “you” means the attorney, claims agent or Veterans Service Organization representative (including a county veteran service officer accredited through an organization) who holds the advocate account, and the firm or organization the account is opened for.
2.3 “Client” means a Veteran, survivor or other claimant whose records you upload or whose name you enter.
2.4 “Client Records” means the documents you upload and the client names, file numbers and notes you enter, and the analysis the service produces from them.
2.5 “Service” means the advocate account, the client dashboard, Advocate Mode, issue lists, reports and share links.
3. Eligibility and accreditation
3.1 You warrant that you are, and while you use the Service will remain, currently accredited by the U.S. Department of Veterans Affairs as an attorney, claims agent or representative of a recognized Veterans Service Organization, and that the accreditation kind and number you give us are yours and correct.
3.2 We verify accreditation on VA's accreditation search before the account opens. Changing the accreditation kind or number sends the account back for verification.
3.3 You will tell us in writing within five business days if your accreditation lapses or is suspended, cancelled or otherwise limited, or if VA or any licensing authority opens a proceeding that could have that result. Write to support@claimscopeveterans.com.
5. What the Service does, and doesn't do
5.1 The Service only analyzes, searches and organizes Client Records. For each issue it shows information such as diagnostic codes, ratings, review routes, deadlines, authorities, record page cites and evidence gaps.
5.2 The Service never drafts, fills in, signs, files or submits any document, including any VA form, argument, statement or medical opinion, and it never communicates with VA for you or your Client. It may be used on pending claims because it only analyzes and organizes.
5.3 A review covers one decision letter and the records behind it, as PDFs up to 1,000 pages. Each account has one login; there are no team seats. Features may change, and we will not describe a feature as available until it is.
6. Your professional responsibility
6.1 You alone are responsible for the advice you give, for checking every finding and citation against the record and the current law before you rely on it, for all drafting and filing, and for every deadline. Deadlines the Service shows are calculated from the records you upload; the deadline that controls is the one set by law and stated in VA's decision.
6.2 You remain responsible for your duties under 38 C.F.R. Part 14, your licensing rules and any organization you represent through, including competence, diligence, confidentiality and supervision of anyone who uses your account.
7. No attorney-client or representative relationship
7.1 Using the Service does not create an attorney-client relationship, or a representative relationship of any kind, between ClaimScope LLC and you or any Client. ClaimScope LLC is not accredited by VA and gives no legal advice to you or your Clients.
7.2 ClaimScopeLaw PLLC, Gabe's separate law firm, is not a party to these Terms and provides nothing under them. Nothing in the Service refers your Clients to it or offers its services.
8. Fees, plans, renewal and cancellation
8.1 Plans: Pay as you go, $79 per decision-letter review; Pro, $199 a month for 5 reviews; Firm, $399 a month for 15 reviews. Prices are shown before checkout, and purchasing opens only when we announce it.
8.2 Monthly plans renew each month until you cancel. Allowances reset on each billing date, and unused reviews don't roll over. You can cancel at any time; cancelling stops future charges, and you keep access until the end of the period you paid for. For a refund question, write to support@claimscopeveterans.com within 30 days of the charge.
8.3 The cost of the Service is your normal overhead. You will not bill it to any Veteran or claimant as an expense (38 C.F.R. 14.637(c)). If you are a Veterans Service Organization representative, you will not charge Veterans for your services (38 C.F.R. 14.636(b)). Any fee you charge a Client is your responsibility and must comply with 38 C.F.R. 14.636.
9. Client Records and data processing
9.1 We process Client Records only to provide the Service to you, on your instructions, and as our Privacy Notice describes. Client Records go only to the service providers listed on our service providers page. We don't sell Client Records, use them for advertising or marketing, use them to train AI models, or contact your Clients.
9.2 Each account sees only its own Clients. You can delete a review or close your account at any time; closing it removes your advocate profile and client list, and backups roll off within 30 days, as our Privacy Notice explains.
9.3 If we learn of a security incident that affects your Client Records, we will notify you without undue delay, with the information we reasonably have. You are responsible for notifying your Clients unless the law requires us to notify them directly.
10. Acceptable use
You will not: upload records you are not authorized to share; upload malware or anything meant to disrupt the Service; share your login; try to reach another account's data; scrape, copy or resell the Service; use the Service to draft, sign, file or submit documents; or use it in a way that breaks the law or your professional rules.
11. Suspension and termination
11.1 We may suspend or close your account immediately, without notice, if your accreditation lapses or is suspended or cancelled, if you upload records without proper authority or consent, if you misuse the Service or breach these Terms, or if the law requires it. Otherwise we may close an account with 30 days' notice. You may close your account at any time.
11.2 Sections on responsibility, no relationship, fees owed, data, disclaimers, limitation of liability, indemnification and governing law survive the end of these Terms.
12. Disclaimer of warranties
The Service is provided “as is” and “as available.” Automated analysis may be incomplete or wrong, and it depends on the completeness and readability of the records you upload. Findings are not legal advice and are not a prediction of how VA, the Board or any court will decide. To the fullest extent the law allows, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, accuracy and non-infringement.
13. Limitation of liability
To the fullest extent the law allows, ClaimScope LLC's total liability for all claims arising from or relating to the Service or these Terms is limited to the fees you paid us for the Service in the 12 months before the event giving rise to the claim. We are not liable for any indirect, incidental, special, consequential, exemplary or punitive damages, or for lost profits, lost fees, lost data or a missed deadline, even if we were told they were possible.
14. Indemnification
14.1 You will defend, indemnify and hold harmless ClaimScope LLC, its members, managers, employees and contractors, and its trade names ClaimScope, ServiceRecord and Ruck Ready, from and against all claims, losses, damages, fines, penalties, costs and reasonable attorneys' fees arising from or relating to: (a) your use of the Service, or its use by your staff or anyone using your account; (b) any claim by a Client, or by a Client's family or estate; (c) any upload made without proper authority or consent; (d) your advice, filings, missed deadlines or fee practices; or (e) your breach of these Terms, of any law, or of any professional rule, including 38 C.F.R. Part 14 and privacy law.
14.2 We will give you prompt written notice of a claim; a delay relieves you of your obligations only to the extent it harms your defense. You will control the defense with counsel reasonably acceptable to us, and we may take part with our own counsel at our own cost. You will not settle a claim in a way that admits fault for us or imposes any obligation on us without our written consent.
15. Changes to these Terms
We may change these Terms. We will post the new version with its effective date and tell you by email or in your account before it applies. A material change applies to you only after you accept it again; until then we may limit new reviews on your account.
16. General terms
16.1 Assignment. You may not assign these Terms without our written consent. We may assign them to a successor to our business.
16.2 Severability. If any part of these Terms is unenforceable, the rest remains in effect, and the unenforceable part is enforced as far as the law allows.
16.3 Entire agreement. These Terms, with our general Terms of Use and Privacy Notice, are the entire agreement about the Service and replace any earlier understanding about it. A waiver must be in writing.
16.4 Notices. We send notices to the email address on your account. Send notices to us at support@claimscopeveterans.com.
17. Governing law and venue
Iowa law governs these Terms, without regard to its conflict-of-law rules. Any dispute arising from or relating to these Terms or the Service will be brought only in the Iowa District Court for Cerro Gordo County or the United States District Court for the Northern District of Iowa, and you and we consent to those courts' jurisdiction.
